If Web-Ex meeting -- book conference room 10 minutes early to set up and dial in as host. Also make sure that all 'shared' files are available to your participants.

I AGREE!! Though I would add, as Florinda said, that any meeting occurring for more than 30 minutes between the local hours of 11:30am and 1:30pm must provide FOOD!!! People can't be expected to think with out any kind of lunch food. Plus it helps them show up to your meeting. Bonus points for 'desert' cookies and coffee.

Only one I don’t agree with is that there always needs to be a separate 'note taker'. I think that depends on the size of the meeting. As a PM I often am doing all 3 - but generally I have an agenda and am merely updating. But there have been times of pause in conversation so I can get everything down. I also work with a bunch of IT engineers (what are pen and paper? notes? documentation? wa?).

Great List.

Number 7 is a real emphasis too.

The only one I would add is if the meeting are taped make sure everyone is aware and given the opportunity to do their own as well. (That is coming from the legal meetings that I have)

I think you've produced a great "meetings manifesto" that addresses several of my meeting-related pet peeves, particularly 1 and 2 and items 8-12. There are often meetings at my office that start at 11:30 or noon and run through lunch, and there's NO FOOD. That's just rude, if you ask me.

I can't think of anything I'd add to this list!
